AI Reference Data
Setup Guide — The Lookup Lists Behind the AI Module
Module: AI Module › Reference Data | Last updated: July 2026
Contents
1. Overview
Reference Data is a set of small lookup lists the AI Module uses to keep everything consistent — the kinds of records it works with, the kinds of suggestions it can make, the kinds of requests it logs, and so on. Other AI screens read from these lists, so they're the shared vocabulary behind the module.
OnCoor ships these lists already filled in with sensible defaults, so most people never need to open this screen. It's here for administrators who want to see what's defined, or add a new entry to support a custom need.
What you can do here
- See the standard lists the AI Module uses.
- Add a new entry to a list when you're extending the module.
- Turn entries on or off, or change the order they appear in.
WHERE TO FIND IT — Reference Data lives under Admin → AI → Reference Data, with a tab for each list: Object Types, Knowledge Scopes, Suggestion Types, Request Types, and Auth Types.
MOST PEOPLE CAN SKIP THIS — The built-in defaults cover normal use. You only need Reference Data if you're deliberately extending the AI Module — for example, adding a new kind of record for it to work with.
2. Finding Your Way Around
Go to Admin → AI → Reference Data. The tabs across the top switch between the lists. Four of them (Object Types, Knowledge Scopes, Suggestion Types, Request Types) let you add and edit entries; the fifth (Auth Types) is a read-only reference.
3. The Reference Lists
| List | What it defines | Examples |
|---|---|---|
| Object Types | The kinds of things the AI works with and keeps track of. | Table, Column, Mapping |
| Knowledge Scopes | How broadly a piece of AI knowledge applies. | Data Domain, Global Product, Organization, Project |
| Suggestion Types | The kinds of suggestions the AI can propose. | Mapping, Rule, SQL Expression |
| Request Types | The kinds of AI requests the module handles. | Mapping Suggestion, RAG Ask, Embedding |
| Auth Types (read-only) | The sign-in methods AI providers can use. | Bearer Token, Azure API Key, Gemini Native |
A few of these connect to other screens:
- Object Types is the same list you choose from when limiting what's shared in a Cross-Domain Policy.
- Request Types is what appears as the "Request Type" column in Observability and the "Activity" column on the Dashboard.
- Auth Types matches the authentication choices you see when setting up an AI Provider.
AUTH TYPES IS READ-ONLY — The Auth Types tab just lists the sign-in methods the system supports for providers. You can look, but you can't add to it here — those are built into the product.
4. Adding or Editing an Entry
The four editable lists all work the same way and share the same simple form.
Steps
- Open the tab for the list you want (for example, Object Types).
- Click Add (for example, "Add Object Type"), or edit an existing entry.
- Fill in the fields (see below).
- Set Active to Yes, then Save.
| Field | What it means |
|---|---|
| Code | A short, stable identifier for the entry (for example, TABLE). Set once when you create it — treat it as permanent. |
| Name | The friendly label shown in lists and dropdowns. |
| Description | An optional note explaining what the entry is for. |
| Sort Order | Controls the order entries appear in — lower numbers come first. |
| Active | Whether the entry is available for use. Set to No to retire an entry without deleting it. |
DON'T RENAME A CODE — The Code is how the rest of OnCoor refers to an entry. Once an entry is in use, changing its Code can break those links. If you need a different code, add a new entry instead of renaming the old one.
5. Quick Reference
A fast lookup for the most common actions.
